Restricting Access in Dispatch Viewer

Users can view Checks, Invoices, and Statements in Documents > Dispatch Viewer based on their permission settings. By default, users should only see the documents they created unless specific permissions allow broader access.

This KB article relates to limiting document visibility in the Dispatch Viewer based on the "Created By" setting. By setting appropriate permissions, organizations can ensure that users only view relevant financial documents in Documents > Dispatch Viewer.

The security can be found in Admin>Administrator>Security>Menu>Docs>Dispatch Viewer

**The following permissions are:

All 3 check marks can be checked and unchecked at the same time. With the Dispatch Viewer box checked the 3 check marks can be checked independently, either all, some, or none checked.

By unchecking the checkbox you are giving that user access ONLY to view Checks, Invoices, or Statements they created.

Then when accessing the Dispatch Viewer screen and selecting the Document type Check, Invoice, or Statement, the Sales Owner field defaults to that user’s name and is disabled. And the user can only see the document type Checks, Invoices, or Statements they created.

By Checking the checkbox you are giving that user access TO ALL Checks, Invoices, or Statements regardless if created.

Then when accessing the Dispatch Viewer screen and selecting the Document type Check, Invoice, or Statement, the Sales Owner field defaults to <<ALL>>. And the user can see ALL document types Checks, Invoices, or Statements regardless if they created them..

NOTE: When changing permissions, remember to exit out of the application and reenter for the changes to take effect.

In the Account Record by unchecking Invoices, Statements, or Checks the user will only see the document, they created on the invoices, Statements or Payment History tab

field defaults to that user’s name and is disabled. And the user can only see the document type Checks, Invoices, or Statements they created.

For Example: The screenshot below shows only the one statement that the user created, as the permission was unchecked for statements and Unchecking gives the user ONLY access to view Statements they created.
